The purpose and scope of awards given by the Santa Fe Trail Association are addressed in the Association's bylaws. The bylaws read: "The Association from time to time shall present various awards to persons or entities who have furthered the goals and purposes of the Association. The policies and the various award categories shall be approved by the Board. The Awards Committee shall be empowered to carry out the policies and procedures of the awards program." As approved by the Board, all awards are given in conjunction with the biennial Santa Fe Trail Association Symposium, held in odd-numbered years.

Nomination Procedure
Unless otherwise indicated above, any Santa Fe Trail Association member may make a nomination for an award.

Nominations for each award should consist of:
- The name, address and contact information of the person, entity or organization being nominated
- The name of the ward you are nominating for
- A paragraph telling why the nominee should receive the award according to the criteria for each award as listed in the above award schedule.
- A signed photo-release from to accompany any submitted photographs – form available at: Photo Release Form
- Name, address, telephone number, and/or email address of the nominator
